Volunteer Coordinator Job Description

Organization Overview:
Free Bikes 4 Kidz MN is a passionate non-profit organization committed to making childhood happier and healthier for all kids by providing bikes to those in need. Through generous public donations of gently used bikes, we mobilize thousands of volunteers to clean, refurbish, and distribute these bikes to deserving children. Each year, we collect, restore, and distribute over 5,000 bikes with the support of over 3,000 dedicated volunteers.

Job Purpose:
The Volunteer Coordinator is a key player in the success of our mission. This position is responsible for recruiting, managing, and leading over 3,000 volunteers throughout the season. From Bike Donation Day to the end of season Volunteer Appreciation Party, you’ll ensure that every event is staffed with enthusiastic volunteers who are well-prepared and engaged. You will oversee volunteer recruitment, registration, scheduling, training, and communications, making sure that everything runs smoothly from start to finish.

ESSENTIAL JOB FUNCTIONS AND ASSOCIATED TASKS:

  • Volunteer Management: Serve as the primary contact for existing and prospective volunteers, ensuring that volunteer staffing needs are met for all events and activities.
  • Recruitment: Update current recruitment resources and actively seek new volunteer sources, including social service agencies, corporate groups, and educational institutions.
  • Community Engagement: Strategically publicize FB4K MN’s volunteer opportunities through online platforms, social media, sponsors, partners, and direct outreach via email and phone.
  • Relationship Building: Develop and maintain relationships with volunteer groups to encourage repeat participation. Maintain consistent communication and provide thorough follow-up on volunteer inquiries.
  • Scheduling & Coordination: Manage the volunteer registration process and work schedule using a shared calendar. Monitor and adjust schedules as needed to address changes, cancellations, and fluctuating needs.
  • Corporate Engagement: Organize and accommodate the specific scheduling needs of corporate volunteer groups, aligning them with FB4K MN’s goals.
  • Volunteer Training: Provide onsite supervision and orientation for volunteers, ensuring they understand their roles and the importance of their contributions. Conduct daily orientations during the bike refurbishing phase.
  • Volunteer Experience: Represent FB4K MN with enthusiasm, ensuring a positive experience for all volunteers. Act as a cheerleader for our cause.
  • Event Planning: Plan and execute the Volunteer Appreciation Party to recognize and celebrate volunteer contributions.
  • Feedback & Improvement: Develop a post-season volunteer survey to evaluate the volunteer experience and recommend engagement improvements.
  • Team Collaboration: Work closely with other FB4K MN team members to support the overall mission and ensure operational success.
  • Other Duties: Assist with additional tasks as assigned by the Executive Director.

REQUIRED QUALIFICATIONS/PREFERRED SKILLS:

  • Education & Experience: Bachelor’s degree preferred, with at least 2 years of professional experience in volunteer management, customer service, or community outreach.
  • Technical Skills: Proficiency in Microsoft Office Suite, familiarity with databases, and experience using interactive web-based tools such as Google Apps, social media platforms, and online volunteer registration systems (Salesforce experience is a plus).
  • Organizational Skills: Demonstrated ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Communication Skills: Strong interpersonal skills with the ability to lead, motivate, and engage volunteers effectively.
  • Flexibility: Willingness to work a flexible schedule, including occasional evenings and weekends, and to be available on key event dates.
  • Professionalism: A positive, personable, and collaborative team member with a professional demeanor.

Work Hours/Structure: This is a seasonal position running from mid-September to mid-December. The role is part-time (20-30 hours per week). Compensation is $17-$20 per hour, depending on experience.

Organizational/Reporting Structure: The Volunteer Coordinator reports to the Executive Director and works closely with the Bike Recipient Coordinator. Initially, this role will operate from a mobile office, transitioning to an onsite warehouse workstation during the bike refurbishing and volunteer work phase.
